Role Overview
As an Admin Assistant at Microbase Inc., you’ll play a key role in keeping our office operations smooth and organized. You’ll lead the messenger team, manage supplies, handle fixed assets, and support various admin functions that help the company run efficiently.
Key Responsibilities
- Lead and manage the daily schedules of messengers, approve their transport and meal allowances, and hold monthly meetings to address concerns.
- Monitor and prepare purchase requests for office supplies; release supplies every 6th and 21st of the month; remind Admin Manager about pantry and cleaning essentials.
- Tag new equipment with Microbase stickers, update the fixed assets database, track asset transfers, and conduct quarterly inventory.
- Process business card requests for employees and new hires.
- Prepare phone billing deduction reports for payroll, collect vehicle receipts, and submit Shell billings with receipts to Accounting monthly.
- Ensure office equipment and fixtures are maintained; oversee cleanliness and orderliness of workspaces; manage duplicate keys and locker assignments.
- Handle parking slot assignments and coordinate new parking privileges.
- Monitor CCTV project activities, track expenses, and coordinate with suppliers for hardware needs.
- Perform other administrative tasks as assigned.
Job Specifications
- Graduate of any 4-year course
- With 6 months to 1 year experience in admin work; fresh grads with strong academic records are welcome to apply
- Comfortable using Microsoft Word, Excel, and PowerPoint
- Organized and able to manage multiple tasks and deadlines
- Detail-oriented and committed to accuracy
- Has good people skills and enjoys working in a team
